Booking Terms and Conditions

Introduction:

Welcome to Incredible Tadoba, your gateway to unforgettable wildlife safaris. These terms and conditions form the basis of your contract with Incredible Tadoba. Please read them carefully.

Definitions and Interpretation:

In this agreement, the following terms will have the meanings referred to below, unless the context clearly indicates otherwise:

  • “Incredible Tadoba” refers to our travel agency specializing in wildlife holiday packages.
  • “Safari Expert” means a travel adviser employed by Incredible Tadoba.
  • “Agreement” means the Customer Booking Form and the applicable Customer Quotation read with these Terms and Conditions.
  • “Package” means the online itinerary or form sent to you by Incredible Tadoba, indicating the estimated prices of the travel products and services (Safaris+Accomodation+Transport) that you purchase.
  • “Credit Note” means a confirmation towards the advances paid which can be used with its terms and conditions if the customer applies for cancellation.
  • “Customer Booking Form” means the form completed by you and submitted to Incredible Tadoba confirming your acceptance of the Customer Quotation.
  • “Deposit” means the monies payable by you to Incredible Tadoba to secure your booking.
  • “Force Majeure” means any extraordinary event or circumstance beyond the control of the parties.
  • “Supplier” means a third party who supplies you with travel services.
  • “Total Package Cost” means the total cost of services rendered to you on behalf of Incredible Tadoba or by Incredible Tadoba, as indicated in the Customer Confirmation Form.
  • “Activities” means any excursions, tours, safaris, boating, and other travel-related services arranged by Incredible Tadoba on behalf of the customer.
  • “Convenience Fee” means the additional fee included in the prices quoted for the arrangement and booking of activities such as safaris, boating, and other travel-related services by Incredible Tadoba.
  • “Activity Cost Variation” means the potential difference between the initial quoted price and the actual cost of activities due to premiums paid to vendors by Incredible Tadoba.

Securing Your Booking:

  • To confirm your booking with Incredible Tadoba, you must make the following payments:
  • 70% towards the package.
  • The final balance, due 15 days before your travel.
  • For specialist products and peak season travel, higher deposits may be required.
  • The Total Package Cost includes a Service Charge for arranging and securing activities such as safaris, boating, and other travel-related services.
  • The Total Package Cost may include an Activity Cost Variation, reflecting premiums paid to vendors for arranging and securing activities.

Availability and Confirmation:

All bookings, including safari permits and accommodation, are subject to availability.

Advance Payment:

A non-refundable advance payment is required to secure your booking. This payment is part of the Total Package Cost, which may include an Activity Cost Variation due to premiums paid to vendors for arranging and securing activities on your behalf.

Non-Transferable Safari Permits:

Once the safari permit is booked, it cannot be transferred, changed, or cancelled. The names of participants cannot be altered once the permit is confirmed.

Cancellation & Refund Policy:

  • Cancellation is calculated on the total package cost and not the discounted prices or the actual advance paid by the customer toward the package.
  • Cancellation policy is applicable only if you book the entire package with Incredible Tadoba.
  • If you cancel your booking before the safari permit or accommodation is booked, the advance payment will be refunded deducting 5% of the total package cost as administrative and transaction charges.
  • If you cancel your booking after the safari permit or accommodation is booked, no refund will be provided.
  • The cancellation toward the remaining package cost would be as follows:
    • 15 days and less – 100% cancellation.
    • 29-16 Days – 75% cancellation.
    • 30 Days – 50% cancellation.

Customers can also opt for a credit note, where no amount will be deducted (excluding safari permit), and the remaining amount can be used within 1 year from the check-in date. A new package will be designed which would deduct the credit note. (Credit Note is Not Applicable for Diwali/Dussehra/ Christmas / New Year and Long Weekends)

Credit Note:

Credit note is subject to the following terms and conditions:

  • The new package will be designed at the time of booking as per the requirement and availability.
  • The bookings should be made by the customer who has received the credit note.
  • The credit note cannot be clubbed with any other offer or discounts.

Pricing:

The prices quoted in the package for activities such as safaris, boating, and other travel-related services are estimates and may include a premium paid to vendors. As a result, there may be differences between the initial quoted prices and the actual costs. The final cost of these activities may reflect this variation.

Force Majeure:

In the event of unforeseen circumstances or force majeure, such as natural disasters, political instability, or any other factors beyond our control, Incredible Tadoba reserves the right to modify or cancel bookings. In such cases, we will make every effort to provide suitable alternatives or refunds.

Changes or Modifications:

Any requests for changes or modifications to your booking, including dates, number of participants, or accommodation preferences, are subject to availability. Additional charges may apply.

Travel Insurance:

We strongly recommend that you obtain comprehensive travel insurance to protect yourself against any unforeseen circumstances, including trip cancellations, medical emergencies, or travel disruptions.

Health and Safety:

It is the responsibility of each participant to ensure they are in good health and physically capable of participating in the activities included in the itinerary. Please inform us of any medical conditions or special requirements at the time of booking.

Code of Conduct:

Participants are expected to adhere to the code of conduct and guidelines provided by the wildlife authorities during the safari. Failure to comply may result in expulsion from the safari without any refund.

Confidentiality and Communication:

Incredible Tadoba takes reasonable steps to protect your personal information and record necessary information for communication.

Indemnification Clause:

By booking a package or availing our services, you hereby provide an indemnity, absolving and holding harmless Incredible Tadoba and its affiliates, officers, employees, agents, and representatives, from any and all claims, liabilities, damages, losses, costs, expenses, or demands arising out of or related to your participation in our services. This indemnity encompasses, but is not limited to, any legal actions, disputes, or challenges that may arise during or as a result of your engagement with Incredible Tadoba.

By making a booking and/or availing Incredible Tadoba’s services, you acknowledge that you have read, understood, and agreed to these terms and conditions.
